    TITLE:  Contract Administration Intern                                   

      

    DEPARTMENT/DIVISION:          BUDGET&FINANCE

     

    SUMMARY OF RESPONSIBILITIES: Under the direction of the Procurement Specialist and Lease/Contract Administration Manager, the Contract Administration Intern will support the Public Procurement and Lease/Contract Administration units. The Intern will assist with the preparation and issuance of general service contract advertisements including Requests for Proposals, Invitations for Bid, Requests for Qualifications, etc. and provide a supporting role in the review, selection and intake of contract awardees. The Intern will also assist with the day to day real estate lease contract operations.

     

    GENERAL DUTIES AND RESPONSIBILITIES:

    The general duties and responsibilities of the position are included in but not limited to the information listed below.

    • Assist with the organization and standardization of procurement related templates and documentation, 
    • Assist with the development, implementation, and improvement of systems and practices to support the procurement lifecycle process, coordinate with external clients on procurement related matters,
    • Provide assistance to the Procurement unit to ensure maximum compliance with applicable Massachusetts Public Procurement Laws M.G.L. c. 30B, 149, 30, §39M, 7C, §§ 45- 58 
    • Monitor and collect from BPDA tenants, vendors and licensees' evidence of insurance coverages as required by contract,
    • Perform quality assurance testing of revenue and critical date activity in the real estate lease portfolio including term commencement/expiration dates, fixed/additional rent commencement/end dates, option notice/exercise dates and other contract milestone activity,
    • Provide regular support to the Public Procurement Specialist and the Lease/Contract Administration Manager and perform other duties as assigned by senior staff.

     

    QUALIFICATIONS AND EXPERIENCE:

    The Intern shall be currently enrolled in, or recently completed, a Bachelor’s degree program with a major or concentration in business/public administration, finance, legal studies or similar field. The ideal candidate is highly organized and able to process and manage large volumes of information in detail. Proficiency with Microsoft Word and Excel is required. Experience with YARDI commercial real estate management systems is a plus.
