TITLE: ADMINISTRATIVE ASSISTANT - LEGAL DEPARTMENT
DIVISION/DEPARTMENT: OFFICE OF THE GENERAL COUNSEL
Under the direction of the General Counsel, Deputy General Counsel and staff attorneys, support the administration of running and managing a legal department by assisting with all administrative matters related to real estate and government transactions, affordable housing, real estate development, economic development, landlord/tenant issues, litigation, public finance, public records, and other general BPDA matters. Provide day to day administrative and operational support to the Office of the General Counsel.
GENERAL DUTIES AND RESPONSIBILITIES:
The general duties and responsibilities of the position are included in but not limited to the information listed below.
Support the General Counsel and Deputy General Counsel by maintaining calendars, scheduling meetings (prioritizing issues to ensure effective time management), drafting correspondence, answering phone calls and triaging inquires and requests from internal and external constituents
Support the Legal Department in meeting requests and deadlines. Maintains an accurate system for tracking time sensitive matters, including, but not limited to filings, renewals, and compliance
Assist staff attorneys in their day to day operations, including tracking attorney caseloads and as needed, inputting information into the file database, helping with public filings and recording documents, and confirming case and project status with attorneys
Provide administrative support tasks, including, updating, sorting and archiving files, and preparing meeting materials
Organize and manage documents and files related to real estate and commercial transactions, affordable housing, real estate development, economic development, public records, public finance, landlord/tenant issues, litigation and general BPDA matters
Ensure the office is operating efficiently, including maintaining the legal library and common work area
Updates job knowledge by participating in educational opportunities; reading professional publications
Perform other related duties as requested.
Minimum Job Requirements
Bachelor’s degree, associate’s degree or equivalent
A minimum of two years related experience in a legal environment
Knowledge, Skills and Abilities Required
Attention to detail required and discretion in keeping confidentiality
Strong business customer service skills and ability to collaborate with multiple departments required
Ability to work in a fast paced environment
Excellent writing skills, both clear and concise
Strong organizational skills and ability to multi-task
Team player, ability to collaborate with various stakeholders and effective business communication necessary
Proficient in Microsoft office suite and experience with Box, our cloud based document management platform, preferred
An interest in real estate, economic development, and the public sector is highly desirable
Working Conditions and Physical Effort
Normal office environment; little or no physical exertion; occasional local travel and site visits.
